US hospital ensures electronic medical record protection through CommVault

Freeman Health System, a regional healthcare institution, recently deployed CommVault’s Simpana software for compliance and protection purposes, making its electronic medical records highly available whenever necessary.

After replacing its legacy backup platform with the multi-module capabilities of Simpana software, Freeman reports that it has reduced its window to backup critical data from eight to two hours and significantly lowered administrative overhead with centralized management and granular reporting. By leveraging Simpana software’s Email Archive and web-based Search modules, Freeman’s Compliance Department has reduced the amount of time it takes to search and retrieve specific information. Additionally, Simpana software’s Replication module offers an extra dose of protection for vital Microsoft Exchange email data while reinforcing the company’s disaster recovery strategy.

By taking advantage of the single platform architecture of Simpana data and information management software, according to Freeman, the healthcare system has lowered costs, reduced overall risk, and improved its delivery of best practices, ISO-registered healthcare.

According to Freeman Health System, Simpana software’s archiving capabilities meet the Freeman Compliance Department’s email retention requirements without requiring Freeman to purchase any additional hardware. Freeman now archives messages that can be content indexed, searched and retrieved quickly and efficiently from across roughly 1,500 Microsoft Outlook mailboxes belonging to hospital employees, physicians, and physicians offices. Simpana software has also helped contain growth of email storage.

Simpana’s Search module provides immediate access to all types of data across backups, archives, as well as online and offline repositories. Using CommVault software’s Search web interface enables Freeman’s HR and Compliance Departments to conduct email and other data searches as part of eDiscovery without any IT intervention.

Additionally, the Simpana Replication module will allow Freeman to access archives and retrieve deleted emails, attachments and other data for accelerated disaster recovery.
